Every asset in SysAid appears in the asset list, whether it was discovered on your network, imported from another system, or added by hand. This page covers finding the assets you need, changing what the list shows, adding an asset yourself, and acting on many assets at once.
Available for:
Customers using SysAid Spaces. If you're using SysAid Classic, see Asset List Classic.
Go to Asset Manager > Asset Management > Asset List to open the list. In the product, this screen is headed Assets.
Finding an asset
Search
Type in Advanced Search to search across the list.
Sort and filter by column
Hover over a column header to reveal its sort and filter icons.
Click the sort icon to sort by that column. Click again to reverse the direction.
Click the filter icon to open that column's values, then select one. To filter on more than one value, click Multiple selection, select the values you want, and save.
Select All to clear that column's filter.
Review and clear filters
Click the filter icon above the list to open the Filters panel. It shows two things:
Selected filters, with a count of the column filters currently applied. Click Reset to clear them all at once.
Advanced filters, for filtering on almost any field rather than one column at a time. Click the edit icon to open the Create Filter window, build a statement, and click Create Filter. Click Reset Advanced Filter to clear it.
Both Reset links stay inactive until a filter of that kind is applied, which is a quick way to tell whether a filter is narrowing your results.
Page through results
The list shows 50 assets per page. The count at the bottom right tells you where you are, for example 1 to 50 of 147.
For fuller instructions on filters, the Expression Builder, and column behavior shared across every list in SysAid, see Using SysAid Lists.
Working with views
A view controls which columns appear, in what order, and which filters sit above the list. The list opens in the DEFAULT view. To switch views, use the View drop-down, and type in its search box if you have many to choose from.
SysAid provides a set of views out of the box, and you can create your own.
Three of the built-in views are worth knowing about, because they display patch information from the asset's perspective rather than the patch's:
PatchManagement
An overview of Patch Management-enabled assets, with patch counts by status.
MissingPatches
Assets that are missing patches, broken down by status.
AssetsForPatch
Every asset with its Patch Management Policy, Operating System Type, and RDS, which is useful when you're deciding which assets to enable and who a rollout would affect.
For what the patch statuses mean, see Patch Management List and Guide to Patch Management.
Please note:
Some built-in views are used by other parts of SysAid rather than intended for everyday browsing. Asset Dashboard controls the Assets tab on the Asset Management Dashboard, Browse Assets controls the Select Asset screen that opens when you change the Main Asset on a service record, and others feed the SysAid Mobile App. Customizing one of these changes behavior elsewhere in the product, so create your own view rather than editing a built-in one.
Customizing a view
To change what a view shows, click Customize view.
Select Edit existing view and choose a view from the View drop-down, or select Add a new view and enter a name in New view name.
Under Configure Columns, move columns between All Columns and Visible Columns using the arrow buttons. Use the up and down arrows to change the order in which visible columns appear.
Under Filters, add or remove the column filters available above the list using Add, Edit, and Remove.
Click Update.
Please note:
The Customize view and Create Filter windows both open as separate browser windows, so allow pop-ups from your SysAid address.
Adding an asset manually
Not everything you want to track can be discovered automatically. A firewall, a monitor, or any other item that discovery can't reach still belongs in your inventory, and you can add it yourself.
Go to Asset Manager > Asset Management > Asset List.
Click + Create New, or click Create in the top bar and select the asset option. The Create Standalone Asset form opens.
Enter a Name and select a Type. Both are required, and Type determines which fields the form shows, so choose it before filling anything else in. See Asset Types.
Fill in the remaining fields. Which ones appear depends on the type you chose. A Chromebook Device, for example, adds Chromebook enrollment time and Chromebook version.
Click OK to save and close, or Apply to save and keep the form open.
An asset added this way holds only what you enter, since there is no SysAid Agent or scan supplying data for it.
Which fields appear on the form depends on the asset type and on how your account has customized the form. For what each field means, see Asset Field Reference. For the form itself and its tabs, see Viewing and Editing an Asset.
Tip!
To add many assets at once, import them from a CSV file instead. See Importing Assets.
Working with several assets at once
Go to Asset Manager > Asset Management > Asset List, then select one or more assets to reveal the action bar at the bottom of the list. Every action on that bar applies to your current selection, so nothing happens until you have selected at least one asset.
Selecting assets
Select the checkbox on any row to add that asset to your selection.
Select the checkbox in the column header to select every asset on the current page.
The header checkbox selects the 50 assets on the page you are viewing, not every asset matching your filters. To act on more than 50, either narrow the list with a filter first or repeat the action page by page.
Please note:
Actions applied to 50 or more assets run in the background, and it can take a few minutes before the change reaches every selected asset.
What you can do
Action | What it does | Requires |
|---|---|---|
Delete | Permanently removes the selected assets | Permission to delete assets |
Deploy Agent | Installs the SysAid Agent on the selected assets | Source = WMI |
Inc. Patch Scan | Scans for patches missed by the most recent scan | The SysAid Agent |
Full Patch Scan | Scans for all available patches | The SysAid Agent |
Disabled | Enables or disables the selected assets | |
Group | Adds the selected assets to an asset group | The group must already exist |
More Actions | Updates one field across the selection, or exports it |

Click a name below for full instructions.

Deleting assets
Go to Asset Manager > Asset Management > Asset List.
Select the assets you want to delete.
Click Delete.
Please note:
Deleting an asset removes its record from SysAid along with everything attached to it: its hardware and software inventory, its availability history, its patch state, and its CMDB relationships. This cannot be undone.
If what you want is for SysAid to stop working with a device, or to free up a license, disable it instead. Disabling keeps the record and its history, and disabled assets do not count toward your license total.
Deploy Agent
Deploy Agent installs the SysAid Agent on the assets you have selected. It works only on assets whose Source is WMI, which is less a limitation than a definition: deploying from a WMI-discovered asset is one of eight documented ways to install the SysAid Agent, and it is the one this button performs.
Go to Asset Manager > Asset Management > Asset List.
Select the assets you want to install the SysAid Agent on.
Click Deploy Agent.
Select the RDS that will perform the deployment, the Credentials it should use, and the Agent Settings configuration to apply.
Click OK.
To follow the deployment, see Network Discovery Logs.
To install the SysAid Agent on assets discovered any other way, see SysAid Agent Deployment Guide. To manage the configurations offered in step 4, see Agent Settings Management.
Inc. Patch Scan and Full Patch Scan
Inc. Patch Scan and Full Patch Scan both scan the selected assets for patch data, and both require the SysAid Agent regardless of how the asset was originally discovered.
Go to Asset Manager > Asset Management > Asset List.
Select the assets you want to scan.
Click Inc. Patch Scan to pick up patches missed by the most recent scan, or Full Patch Scan to scan for all available patches.
To review the results, open an asset and go to its Patches tab, or work from the full patch list in Patch Management List. For everything patching does beyond scanning, see Guide to Patch Management.
Disabled
Disabled stops SysAid from working with the selected assets without removing their records or their history.
Go to Asset Manager > Asset Management > Asset List.
Select the assets you want to change.
Click Disabled.
Select Disable or Enable.
When an asset is disabled, automatic inventory updates stop, monitoring stops, and every other SysAid Agent capability stops for that asset. Disabled assets also stop counting toward your license total, which makes disabling the right move for equipment that is in storage, awaiting disposal, or otherwise out of service but still worth a record.
The list carries a Disabled column showing Yes or No for every asset, so you can check the current state without opening anything.
Group
Group adds the selected assets to an asset group. Asset groups organize your assets for tracking and reporting.
Go to Asset Manager > Asset Management > Asset List.
Select the assets you want to group.
Click Group.
Select the group.
The group must already exist. To create one, or to move assets between groups from the group hierarchy itself, see Asset Groups.
Please note:
Asset group membership can govern which Admins can see an asset, so check a group's configuration before you move assets into it. Deleting an asset group also deletes every asset inside it.
More Actions
More Actions holds two things: a bulk field update and the exports.
Updating a field across the selection
You can set one field to the same value on every asset you have selected.
Go to Asset Manager > Asset Management > Asset List.
Select the assets you want to change.
Click More Actions, then click More Actions again.
In the Update Asset field to window, select the field you want to set from the first drop-down.
From Please select a value, select the value.
Click Save.
Field | What it sets |
|---|---|
Location | The location of the selected assets |
Company | The company the selected assets belong to. Full edition only |
RDS | Which Remote Discovery Service the selected assets use. Choose one that is accessible to the assets, for example on the same network |
Patch Management | Enables or disables Patch Management on the selected assets |
Agent Settings | The Agent Settings configuration applied to the selected assets |
You can set one field per pass. To change two fields, run the process twice.
Please note:
Patch Management is licensed separately by asset count, and enabling it on an asset consumes one of those licenses. Enabling Patch Management also requires about 500 MB of free disk space on each asset, used when patches are extracted before installation. For more information, see Guide to Patch Management. To manage Agent Settings configurations, see Agent Settings Management.
Tip!
To change fields other than these five, or to change several fields at once, export your assets, edit the file, and import it back. Keep the Asset ID column in the file, since that is what tells SysAid to update the existing assets rather than create new ones. Add it through Customize view before exporting, because it is not in the default view. See Importing Assets.
Exporting your selection
Go to Asset Manager > Asset Management > Asset List.
Select the assets you want to export.
Click More Actions.
Select Export selected to PDF or Export selected to Excel.
