My Reports

The My Reports tab allows you to see the reports for which you've saved parameters so that you don't have to re-enter them each time you run the report. You can use the Search field to filter the reports displayed in the tab and you can use the Views icons () to change the format in which the reports are displayed.

To save a report so that it appears in this tab, see Add a report to My Reports.

Run a report

You can run a report with all its predefined parameters from the Action menu, or you can modify its parameters and run it from the Report form (see Customize a report).

From the report's Action menu, click Run. The report file is downloaded to your machine, and SysAid creates a record of the report in the Recent Reports tab.

Note
If the report run-time exceeds ten seconds, a message appears informing you that the report wll continue to run in the background and a download link will appear in the Recent Reports tab when the report is ready.

To filter a report or to change its Print settings, click the report's icon to open the Report form.

Schedule a report

You can add a schedule to an unscheduled report, or you can edit or delete a report's existing schedule.

To add a schedule to an unscheduled report

  1. From the report's Action menu, select Add schedule.
  2. In the Starting From field, use the date picker to select an initial date and time for the report to run.
  3. From the Repeat drop-down, select if you want the report to run daily, weekly, or monthly.
  4. In the Send To field, begin entering the name of the person you want to send the report to and select the name from the autocomplete list that opens below.
    If the Allow Admins to Send Emails to Addresses not Registered in SysAid option is selected in Email Integration, you can also enter any email address you would like to send the report to.
  5. Enter text for the email subject and body.
  6. Click Done.

To edit an existing schedule

  1. From the report's Action menu, select Edit schedule.
  2. Make any changes you want to the schedule and/or it's associated email.
  3. Click Update.

To delete a schedule from a report

  1. From the report's Action menu, select Edit schedule.
  2. In the Report Schedule dialog, click Delete.
  3. When prompted, click OK.

Email a report

Emailing a report is similar to the Run option, except the process happens entirely in the background, and SysAid sends the report to the specified recipients when it's ready.

To email a report

  1. From the report's Action menu, select Email.
  2. In the Email Report dialog, begin entering the name of the person you want to send the report to and select the name from the autocomplete list that opens below.
    If the Allow Admins to Send Emails to Addresses not Registered in SysAid option is selected in Email Integration, you can also enter any email address you would like to send the report to.
  3. Enter text for the email subject and body.
  4. Click Send.

When the report is ready, it is sent as an email attachment to the selected addresses. It also creates a new record in the Recent Reports tab.

Rename a report

To rename a report

  1. From the report's Action menu, select Rename.
  2. In the Rename dialog, enter the unique name you want for the report.
  3. Click Done.

Duplicate a Report

You can use an existing report as a template for a new report by duplicating it. Let's say you have a report and you'd like to create another report just like it with some adjustments to the filters, a different chart type, and modified text on the cover page. Instead of creating the new report from scratch, you can duplicate the existing report and perform the small modifications in a fraction of the time.

To duplicate a report

  1. In the All Reports tab, locate the report you want to duplicate and click .
  2. Select Duplicate Report.
  3. Enter a name for the new report.
  4. Click Done.
  5. Open the new report to modify it as you like.

Delete a report from My Reports

Deleting a report from the My Reports tab also removes any existing schedule for that report.

To delete a report from the My Reports tab

  1. From the report's Action menu, select Delete from My Reports.
  2. When prompted, click Yes.
