How it works
The License Manager is built around two complementary capabilities that together give you complete software lifecycle management.
Contracts
The Contracts capability gives you a centralized place to manage all your software contracts, including terms, renewal dates, costs, and vendor details. Using AI-powered data extraction, you can quickly import contracts from PDF files, set up automated renewal and cancellation reminders, and keep your entire contract portfolio organized and up to date.

Applications

Customer who purchased License Manager Advanced.
License Manager’s application discovery ability automatically identifies and tracks SaaS applications in use across your organization by integrating with Microsoft Entra ID (SSO). As users sign in to applications, SysAid captures this data and builds a live, always up-to-date catalog of your SaaS environment. Each discovered application is automatically added to your License Manager inventory, giving IT teams immediate visibility into what's being used, by whom, and at what cost.

Linking contracts and applications
Available for:
Customer who purchased License Manager Advanced.
Once you have both contracts and applications in your License Manager, you can link them together to get a fuller picture of your software spend and usage.
You can link a contract to an application directly from the contract form by selecting an application from the dropdown. One application can have multiple contracts linked to it.
When you link a contract to an application, SysAid can use the contract's cost and license data to populate the corresponding fields on the application:
If the application does not yet have cost or license data, the fields are automatically populated from the contract.
If the application already has cost or license data, you will be prompted to decide for each field whether to override it with the contract data or keep the existing values. No data is overwritten without your confirmation.
When a contract is linked to an existing application, "Contract" is added as a source to that application's discovery method. If the application doesn't exist yet, a new application record is created automatically with "Contract" as its discovery method. It behaves like a manually created application.
Limitations
Each contract can be linked to exactly one application.
If you want to delete an application that is currently linked to a contract, you must first link that contract to a different application. Only after the contract has been linked to a different application can you delete the original one.
