Managing Your Calendar in SysAid

The SysAid Calendar displays all time-relevant information within SysAid in one centralized location. This includes software expiration dates, service record due dates, service record activities, and more. Click any event for more details and a link to the relevant service record or software product.

Available for:

Customers using SysAid Spaces. If you're using SysAid Classic, see My Calendar.

The calendar can also sync with Outlook or Google Calendar. See Syncing the SysAid Calendar with Microsoft or Google to set that up.

Navigate to Settings > Customization > Calendar > My Calendar to access the calendar.

Choose administrator's calendar

Please note:

No special permission is required to access your own calendar. Viewing another admin's calendar requires either the SysAid Administrator permission (any admin's calendar) or the View calendars of admins who are members of the same groups permission (admins in your own groups only). See Managing Agent and Admin Permissions for details.

Choose the administrator whose calendar you'd like to see or edit. Admins with SysAid Administrator permissions can view any admin's calendar. Admins with permission to view calendars of admins in their own groups can view the calendars of any admin who's a member of one of those groups.

Previous/next date

Cycles the calendar in increments matching your current view. For example, if you're viewing a day, the arrows move you to the next or previous day; if you're viewing a week, they move you to the next or previous week.

Opens a calendar picker so you can scroll through months and jump straight to the day you want.

Change calendar layout

Click on  Calendar layout settings to open the calendar layout settings. This is different from Configuring My Calendar Settings, which controls how the calendar syncs and interacts with the rest of SysAid; this panel only controls the calendar's visual layout:

  • Default View - The view that loads when you open the calendar page. If you choose Custom # of days, you can set how many days are shown.

  • Start/End Time - The hours that appear on the calendar. Hours before the start time or after the end time don't appear at all.

  • Start of Week - Whether your workweek starts on Sunday or Monday.

  • Hour size (in pixels) in the calendar - Controls the width of the hour columns.

  • Views - Which views are shown in the top right corner of the calendar (see Calendar views below).

Creating and modifying a SysAid event

A SysAid event is any event you add manually to the calendar. Click Create New, or click and drag a timeframe directly on the calendar to create one.

Give the event a title, description, and start and end time, then click Create Event. To close the form without creating it, click Close Event.

Filling out event details

To modify an event, click it and choose Edit Event. You can also click and drag an event to move it to a different time slot. To delete an event, click it and choose Delete Event.

Please note:

Only manually created events can be edited or deleted from this screen.

Group events

SysAid Administrators can create group events that show up on the calendars of every member of a selected group, including end users, who can view the SysAid Calendar from the Self-Service Portal. When creating a new SysAid event, check Group Event and select the relevant group. You can also choose "All users including end users," which includes users who aren't part of any group.

Please note:

Anyone in an included group can see the group event on their calendar, but only SysAid Administrators can edit group events.

Controls which events are displayed on the calendar. A SysAid Event is any event you create manually.

Calendar views

Your calendar view options are:

  • Month, Week, Day - Displays the full month, week, or day.

  • Next X Days - Displays a specified number of days. Set how many in the calendar layout settings above.

  • Work Week - Displays Monday to Friday.

  • Agenda - Displays a list of all calendar items with their title and times. Click Expand Details to see each agenda item's description. By default, the next 30 days are shown; you can edit the individual dates shown using the icons in the top left of the screen (these only appear when the agenda view is open).
