When you click an application in the Applications tab, you are taken to the Application page.
This page provides a detailed breakdown of usage by individual users. It is designed to help you understand usage patterns, identify inactive users, and make informed license optimization decisions.

How it works
When going to the Applications tab in License Manager, you can click on any application that was automatically discovered and see the following information:
AI enrichment
The AI enrichment section gives you quick context about the selected application, including what it does, its category, website, and available certification or compliance information.
Use this section to understand unfamiliar applications faster, especially when reviewing newly discovered apps or deciding whether an application should be approved for use.

The AI-generated details are meant to provide helpful context, but they should be reviewed before making security, compliance, or procurement decisions.
Overview
The Overview section summarizes the selected application’s key details, including its approval state, discovery method, discovery date, category, license count, and detected active or inactive users.
Use this section to quickly understand how the application was discovered and whether its license usage may need attention before reviewing individual users in the table.
The Discovery method indicates which source detected the application usage, such as Microsoft Entra ID, the SysAid Browser Extension, or manually.
Users
The Users tab provides a detailed breakdown of everyone who has accessed the selected application within the last 30 days.
This view helps you understand who is actively using the application, who is not, and where licenses may be removed or reassigned.
The table includes the following columns:
Column | Description |

User | The user’s name as it appears in SysAid User Management. Users that do not exist in your SysAid directory will be shown as “Unknown user ” together with their email address. This is a great way to identify cleanup opportunities. |

Usage | The user’s activity level over the last 30 days, based on sign-in frequency: • High: More than 15 sign-in days in the last 30 days • Medium: Between 5 and 15 sign-in days • Low: 5 sign-in days or fewer • Inactive: No sign-ins in the last 30 days |
Discovery method | Indicates how the application access was identified. Currently, usage is discovered via Microsoft Entra ID audit and sign-in logs. |
Last used | The most recent recorded sign-in date for the application. |
Please note:
Usage reflects sign-in activity detected through Microsoft Entra ID logs. It does not provide visibility into in-application actions or data.

Low-activity users
Disabled users
You can identify opportunities to remove or reassign licenses and reduce unnecessary spend. Reach out to light users and ask if they truly have a need for this license.
This view provides the visibility needed to move from application discovery to actionable license management.
