Connecting HiBob to the SysAid AI Agent Builder gives IT and HR a shared view of basic employee details, without accessing sensitive information. By syncing data like department, job title, manager, and employment status, AI Agents gain the context they need to act accurately.

This makes it easier for IT and HR to work together. AI Agents can route service records correctly, support onboarding and offboarding, and respond faster to employee needs, all with less manual coordination and more consistency.

In this article, we’ll show you how to connect HiBob to the AI Agent Builder.

Setting up the connection

Follow these steps to set up and connect your SysAid AI Agent Builder with HiBob.

Step #1: Creating a service user and a permission group

  1. Go to your HiBob account:

    • If you have direct access to HiBob, go to the Service Users configuration page to create a new user and copy the ID and token. For more information, see HiBob's Help Center.

    • If you don't have direct access to HiBob, ask a HiBob Admin to generate the credentials for you. You’ll need to add them to SysAid later.

  2. By default, Service Users have no access permissions. To assign them access:

    1. Create a dedicated permission group.

    2. Add the Service User to this group.

    3. You must add the Service User to a Permission Group that has View access to the following sections under People:

      • People > Basic Info: Required for basic IDs, names, and email.

      • People > About: Required for personal details (address and contact information).

      • People > Work: Required for title, department, manager, and site.

      • People > Lifecycle: Required to handle the showInactive parameter correctly (start dates, termination dates).

Please note:

These are the recommended permission settings for the HiBob-related AI Agent to support the IT team. If your HR team is also using SysAid, you can grant additional permissions and create AI agents to meet their needs.

Step #2: Configuring the HiBob AI connection in SysAid

Back in your SysAid account:

  1. Go to Settings > SysAid AI Agents > AI Agent Builder.

  2. Search and select the HiBob HR API Connection AI Connection in the menu to the left.

  3. Paste the relevant details in the HiBob API service user ID and HiBob API token for the service user fields.

  4. Click on Test in the AI Agent Builder.

  5. Wait for confirmation that the test was successful.

  6. Click Publish.
