AI Agents Usage Dashboard Overview

The AI Agents Usage Dashboard provides visibility into how AI agents are used across your SysAid account. It helps you understand adoption trends, identify your most active users and agents, and monitor the overall performance of AI-powered automations.

How it works

To view the dashboard:

  1. Go to Analytics > BI Analytics

  2. Under Sheets, scroll down and select the AI Agents Usage Dashboard sheet.

The AI Agents Usage Dashboard is divided into 4 main areas:

  • Top Bar: Displays essential KPIs like total AI agent executions, unique users, etc. When hovering over each KPI, you’ll see a short description of what it includes and how it is calculated.

  • Left side: Highlights AI agent execution trends across channels and tracks user engagement over time.

  • Right side: Focuses on which AI agents are the most used and by whom.

  • Filters: Date and AI agent filters can be found on the left-side panel and will affect all the data displayed in the dashboard.

Tip!

Each individual chart can be expanded by hovering over it and clicking the maximize (arrows) icon.

Dashboard metrics

# Total AI Agent Executions

The total number of AI agent executions across the organization. This includes the following channels:

  • Agent Chatbot

  • End user Chatbot

  • Scheduled tasks

You can go to the Total AI Agent Executions Over Time chart section to see a breakdown of AI agents per source.

# Unique users

The number of unique users who executed AI agents. This includes end users and IT agents.

# Available AI agents

The total number of published AI agents you have available in your organization.

% AI agents used

The percentage of AI agents executed out of the total number of available AI agents.

Charts

# AI agent executions

This shows AI agent executions over time. You can filter by channels to see if the usage is heavier in the Agent Chatbot, as scheduled tasks, etc.

Number of users

The number of unique users who executed AI agents over time. This reflects the adoption of AI agent usage in your organization.

Most used AI agents

A list of the most used AI agents in your organization, by the number of executions and unique users who’ve used them.

Top AI agent users

A list of the users who tend to use AI agents the most, sorted by the number of AI agent executions.

Executions by user role

A breakdown of the total AI agent execution rate according to the user role.

Filters

  • Date range: By default, the dashboard shows data that spans across the last 12 months. You can click Select date range on the left to adjust the presented data timeframe.

  • AI agent type:  By default, the dashboard shows data for both prebuilt and custom-built AI agents. You can filter the dashboard to only show data regarding prebuilt agents, custom-built agents, or both.

Tip!

Clicking any trendline in the charts will filter the entire dashboard. You can remove any filter by closing the relevant filter tab at the top.

Tips to boost metrics

To maximize the value of AI across your organization and see continuous growth in your dashboard metrics, consider the following best practices:

  • Promote awareness: Make sure users know which AI agents are available to them and what each AI agent can do. Clear communication and visibility encourage wider adoption and more frequent use.

  • Monitor and engage users: Use the dashboard to track adoption trends and identify where usage may be increasing or slowing down.
    Reach out to users with guidance, tips, or questions to help them get the most out of AI-driven capabilities.

  • Expand your AI agent offering: Maintain a diverse range of AI agents that cover multiple use cases, ensuring that relevant agents are accessible to all user groups.
    The more useful and varied the agents available, the higher the overall engagement and impact.
