Select multiple Service Records for Bulk Action

 

Bulk Actions enable Admins (with the required permissions) to multi select up to 50 Service Records in the Queue Grid and apply one unified action simultaneously.

The actions available to perform using Bulk Actions are:

  • Deleting Service Records
  • Editing Service Record Assignees

Documenting Bulk Deletions
Bulk Deletions are recorded in the System Log, including multiple Service Records that were deleted through a Bulk Action


This document provides a brief overview of how to use Bulk Actions, including how to:


Enable Bulk Actions

Bulk actions can be performed by Admins with specified permissions.

If a user lacks the permissions to perform Bulk Actions, the Bulk Selection checkboxes won’t appear in their Queue Grid. 

Three settings in User Management > Administrators > Edit administrator properties must be enabled in order to grant a user permissions for Bulk Actions.


Enable Bulk Actions: Grant Permissions

To grant an Admin permission to perform any Bulk Action, select the “Enable bulk actions from the SR list” checkbox, according to the type of action you’d like to permit.


Enable Bulk Actions: Assign 

To grant an Admin permission to multi select and assign multiple Service Records to an Assignee or Group, select the “Create/Modify Service Records…” checkbox. 

(You can choose whether this permission applies to Service Records with anyone, Admins only, or Admins and Groups only.)


Enable Bulk Actions: Delete

To grant an Admin permission to multi select and delete multiple Service Records at once, select the “Purge Service Records…” checkbox. 

(You can choose whether this permission applies to Service Records with anyone, Admins only, or Admins and Groups only.)


Perform Bulk Actions on Service Records


Assign to multiple users via Bulk Actions

 


Bulk Actions are performed through the Action Bar that appears once a Service Record’s checkbox is selected. 

You can trigger the Action Bar to appear using one of two methods:


  • Select an individual Service Record’s checkbox in the Queue Grid, and do this for all of the Service Records (up to 50) you’d like to apply the action to
  • Click the master checkbox beside the Queue Grid’s Column labels, which will automatically select its first 50 Service Records. 


To exclude specific Service Records from this autoselection, de-select their checkboxes. This will subtract the number of Service Records from the count of 50 that were autoselected, allowing you to select others while remaining within your limit.

Note

When the first 50 Service Records in the Queue Grid are auto selected, the selection total will display as ‘out of 50’. 

This does not indicate that there are only 50 Service Records in your Queue, rather that only up to 50 Service Records can be selected for a Bulk Action


Once the Action Bar represents the Service Records you’ve selected, you can either click “Assign” [show icon] or “Delete” [show icon], depending on your desired action.


Remove Service Records from Multi Selection

Service Records can be removed from a ‘Bulk Action selection’ either by

  • Deselecting them individually by clicking their checkbox
  • Deselecting all ‘checked’ Service Records from the master checkbox
  • Clicking the [show x icon] on the Action Bar terminates the Bulk Action process that was started

Feedback on Bulk Actions
If some or all of the Service Records failed to be included in a Bulk Action, a toaster notification will appear informing you of the full or partial failure
